1. Definition
The Bulk Import Policy feature enables users to upload and process large volumes of policy data in a single operation. This reduces manual effort and ensures data accuracy through automated validation.
2. Purpose & Use Cases
a. Purpose
Streamline the process of handling multiple policy records.
Reduce errors caused by manual data entry.
b. Use Cases
Simple Product Pricing: Suitable for products requiring minimal customer and product-specific data.
Group Policies: Efficiently manage multiple policies under a single account.
Compulsory Coverage: Designed for mandatory insurance products, such as repair insurance, where bulk handling is essential.
3. Functionality
File Upload: Users upload an Excel file (.xlsx format) with policyholder, product & coverages details to a designated SFTP folder.
Periodic Processing: At regular intervals (configurable by the Seamless team), the system scans the SFTP folder for new uploaded files and processes them automatically.
Validation: The system validates all records to ensure data consistency and compliance.
Record Handling:
If the policyholder does not exist in the system, a new policyholder account is created and system issues the policy in the newly created account.
If the policyholder already exists, the system uses the existing account to issue policies.
4. Excel Template Structure

Maximum Records: 500 per file.
Format: xlsx file
Unique file name
Mandatory Fields for all products:
Start Date: Policy start date.
End Date: Policy end date.
Payment Frequency: Options include Monthly, Annual, Single Payment, etc.
Payment Method: Options include Invoice, Autogiro, etc.
Product Name: The name of product being insured.
Dealer ID: Unique identifier for the dealer.
Product-Specific Columns: Each product may have additional columns based on its unique Q&A lists.
5. Prerequisites
To use the Bulk Import Policy feature, ensure the following:
SFTP Access:
Obtain access credentials for the designated SFTP folder(s)
Correct Excel Format:
Ensure the file follows the structure of the provided template.
Save as
.xlsx
format with a unique file name.
Validation Rules:
No empty mandatory fields.
Correct type of each field.
Maximum of 500 records per file.
No duplicate file names in the SFTP folder.
FTP Application:
Install and configure an FTP application (e.g., FileZilla, WinSCP) to access the SFTP folder.
Seamless BOP Account:
Ensure you have a Seamless BOP account to view the result files and track the processed policies.6.
