What is the purpose of activating or deactivating a workflow?

Activating or deactivating a workflow in a system serves several purposes, depending on the context of the system and the nature of the workflow. The following are some typical causes for needing to either activate or deactivate a workflow:

  • Control and Flexibility:

    • Testing and Development: During the testing and development phase, you may want to deactivate certain workflows to prevent them from affecting the system while changes are being made. Once testing is complete, you can activate the workflow to make it operational.

    • Seasonal or Periodic Workflows: Some workflows may be designed to run only during specific seasons or periods.

  • Error Handling:

Isolating Issues: If there are issues or errors in a particular workflow, deactivating it can help isolate the problem. This prevents the faulty workflow from causing further disruptions while troubleshooting is underway.

  • Workflow Maintenance:

    Updates and Maintenance: When performing updates or maintenance on a workflow, it is often advisable to deactivate it temporarily to avoid disruptions. Activating it again after maintenance ensures that the latest changes are applied.

Activate Workflow

To activate a workflow, please contact Contemi to approve the workflow so you can use the workflow in the system.

After you complete the workflow setup and want to activate it, on the workflow list, please follow these steps:

  • Select the workflow that is not activated indicated by a grey check icon (image-20240221-085551.png) and you want to activate it on the Workflow list.

  • Click image-20240221-085706.png “Send for approval” button on this workflow item to send the workflow for review. This action places the workflow in the “Awaiting for approval” state.

  • Wait for Contemi to approve.

Active Workflow: After submitting a workflow for approval, the user awaits Contemi Support to either approve or reject it.

  • If the workflow is approved, its state will change to “Approved” on the Workflow list, and the Activate icon will change to the “Deactivate ” button (image-20240310-105054.png) - Which means the status of the current workflow is active and it can be Deactivate now.   • If the workflow is rejected, its state will change to “Refused” on the Workflow list. To reactivate this workflow, you can click the "Edit" icon to switch the workflow to the "Editing" state. Once the workflow is updated, the user can resubmit it for approval.

  • After a workflow is approved, the “Effective start date” will show the effective date.

Deactivate Workflow

If you want to stop an active workflow, you can deactivate the workflow.
